Effective date: 9 October 2026 v1.2
These Terms and Conditions and this Privacy Policy apply to the RoleNook application (the App), provided by Think To Be Ltd (Think To Be, we, us, or our).
By downloading or using RoleNook, you agree to these Terms and Conditions. The Privacy Policy explains how information is handled when you use the App.
Terms and Conditions
1. About RoleNook
RoleNook helps you organise job applications, contacts, tasks, interviews, and offers. It is a personal organisational tool. It does not provide recruitment, employment, legal, financial, or professional advice, and it does not guarantee interviews, offers, employment, or any other outcome.
2. Licence and intellectual property
We give you a personal, limited, non-exclusive, non-transferable, and revocable licence to use the App in accordance with these terms and any applicable Apple App Store rules.
The App, including its design, software, branding, and original content, belongs to Think To Be Ltd or its licensors. You must not copy, modify, distribute, sell, lease, sublicense, translate, reverse engineer, or attempt to extract the source code of the App, except to the extent that applicable law expressly permits it.
The information you enter into RoleNook remains yours. These terms do not transfer ownership of that information to us.
3. Your responsibilities
You are responsible for:
- keeping your device, Apple Account, and device passcode secure;
- ensuring that information you enter is accurate, lawful, and appropriate;
- having a lawful reason to store another person’s contact details or other personal information;
- checking important dates, reminders, application details, and exported files; and
- maintaining any backups or exports you consider necessary.
You must not use RoleNook for unlawful, fraudulent, abusive, or harmful purposes, or in a way that infringes another person’s rights.
4. iCloud, notifications, and connectivity
RoleNook can use Apple’s iCloud and CloudKit services to synchronise your data between compatible devices signed in to your Apple Account. Synchronisation depends on Apple services, your iCloud settings, available storage, network access, and compatible software. We cannot guarantee that synchronisation will always be immediate, continuous, or error-free.
If you enable reminders, RoleNook uses Apple’s local notification system. You remain responsible for checking relevant dates and events even if a notification is delayed, suppressed, or not delivered.
You may need an internet or mobile data connection to download or update the App, use iCloud synchronisation, open external links, or contact another person. Your network provider may charge you for this use.
5. Imports, exports, and external services
RoleNook can import and export supported data and can share exported JSON, CSV, or PDF files using Apple’s share sheet. You are responsible for choosing a secure destination and for any copies created outside RoleNook. Deleting information from the App does not delete copies you previously exported or shared.
The App can open telephone numbers, email addresses, web addresses, maps, and other links in Apple or third-party apps and services. Those services are independent of Think To Be and have their own terms and privacy practices. We are not responsible for their availability, content, security, or conduct.
6. Availability and changes to the App
We may update, change, suspend, or discontinue all or part of RoleNook. Updates may be needed to maintain compatibility, security, or functionality. We do not promise that the App will always be available or compatible with every device or operating-system version.
We may end your right to use the App if you materially breach these terms. If these terms end, you must stop using the App. You should export any information you want to retain before removing the App or losing access to your Apple Account.
7. Disclaimer and limitation of liability
RoleNook is provided on an “as available” basis. While we take reasonable care in providing the App, we do not guarantee that it will be uninterrupted, error-free, or suitable for every purpose.
To the fullest extent permitted by law, Think To Be Ltd is not responsible for indirect or consequential loss, loss of opportunity, loss of employment prospects, or loss arising from information you entered incorrectly, a missed reminder, unavailable third-party service, connectivity failure, or circumstances outside our reasonable control.
Nothing in these terms excludes or limits liability that cannot lawfully be excluded or limited, including liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or your mandatory consumer rights.
8. Governing law
These terms are governed by the laws of England and Wales. If you are a consumer, you also retain any mandatory protections provided by the law of the country where you live. The courts with jurisdiction under applicable consumer law may hear any dispute.
9. Changes to these terms
We may update these terms when the App, applicable law, or our practices change. We will publish the revised version on this page and update the effective date. If a change is material, we will provide additional notice where reasonably practical.
10. Contact us
If you have questions about these Terms and Conditions, contact Think To Be Ltd at apps@thinkto.be. Please identify your message as relating to RoleNook.
Privacy Policy
1. Who is responsible for your information
Think To Be Ltd provides RoleNook and is responsible for the processing described in this Privacy Policy.
For privacy enquiries, email apps@thinkto.be and identify your message as a RoleNook privacy enquiry.
2. Privacy at a glance
RoleNook does not require a separate RoleNook account, and Think To Be does not operate a server that receives the job-search information you enter. The App shows a banner advertisement through Google’s AdMob service; this is the only advertising or third-party tracking RoleNook contains, and it never involves the job-search information you enter. See “Advertising and tracking” below for details and how to limit it. RoleNook also uses Google Analytics for Firebase to count which of the App’s screens are opened, and Firebase Crashlytics to report crashes, so we can see which features are used and fix problems; they receive screen names, crash details, records of when ads are requested and shown, and technical device information, never your records. See “Usage analytics” and “Crash reports” below.
Your RoleNook information is stored on your device and, when iCloud is available for the App, in your private Apple CloudKit database so it can synchronise across your devices. Information in a private CloudKit database is accessible through your Apple Account and is not visible to us through Apple’s developer tools.
3. Information handled by RoleNook
You may choose to enter:
- job-application information, such as employer, role, status, dates, compensation, workplace details, links, descriptions, notes, benefits, and outcomes;
- contact information, such as a person’s name, employer, role, telephone numbers, email address, profile or other web links, and notes;
- tasks and reminders, including titles, descriptions, due dates, completion details, and links to applications;
- interview information, including dates, type, location, interviewer, duration, notes, status, feedback, and outcomes; and
- offer information, including dates, status, response details, and notes.
The App also creates technical record information needed to operate, such as internal identifiers, creation and modification dates, archive or completion status, and your reminder settings.
Please avoid entering sensitive information that you do not need in order to organise your job search.
4. How information is used
RoleNook uses this information only to provide the features you request, including displaying and organising your records, synchronising them through iCloud, scheduling reminders, importing data, creating exports, and opening contact details or external links.
Where UK data-protection law applies to processing carried out by Think To Be, we rely on:
- performance of our agreement with you when processing is necessary to provide RoleNook;
- your choice or consent when you enable optional device permissions such as notifications, or allow tracking for personalised advertising through Apple’s App Tracking Transparency prompt;
- our legitimate interests in showing non-personalised advertising through Google AdMob, in measuring which parts of the App are used through Google Analytics for Firebase and diagnosing crashes through Firebase Crashlytics so we can improve it, in responding to support enquiries, protecting the App, and maintaining reasonable business records, where those interests are not overridden by your rights.
You can refuse or withdraw notification permission in iOS Settings. The core record-keeping features can still be used without notification permission.
5. Where information is stored and who receives it
On your device. RoleNook keeps an on-device copy of its records and stores preferences such as reminder timing using Apple-provided storage.
Apple iCloud and CloudKit. When iCloud is enabled and available, Apple processes your RoleNook records in your private CloudKit database to provide synchronisation. This processing is governed by your agreements with Apple and Apple’s privacy policy. Apple may also process account, device, service, and diagnostic information needed to provide the App Store, iCloud, operating-system, and notification services.
TestFlight beta testing. If you install a beta version of RoleNook through Apple’s TestFlight app, Apple automatically collects crash logs from your device and shares them with us to help fix problems before release, for testers who have opted in to share this under Settings > Privacy & Security > Analytics & Improvements. If you choose to send us feedback through TestFlight, Apple also shares the screenshot, written comments, and basic device information you include. This is separate from, and does not include, your RoleNook job-search records unless you choose to show them in a screenshot or describe them in your comment. TestFlight’s own collection is governed by Apple’s TestFlight licence agreement and privacy policy.
Usage analytics. Google Analytics for Firebase, a service provided by Google, receives a record each time you open one of the App’s screens. Each record contains the name of the screen (for example, “Tasks” or “Contacts”) together with technical information that Firebase collects automatically: a randomly generated app-instance identifier, your device model, iOS version, App version, language, and an approximate country or region derived from your IP address, plus basic usage information such as when the App was first opened and how long a session lasts. Because RoleNook also shows ads through Google AdMob (see “Advertising and tracking” below), the AdMob software in the App also records in Google Analytics for Firebase each time an ad is requested and each time one is shown, together with the screen it appeared on. It never receives the content of your records, such as employer names, contact details, notes, or anything else you type. RoleNook does not provide your device’s advertising identifier (IDFA) to Firebase, and does not use this information to target advertising or for cross-app tracking. We use it only in aggregate, to understand which features are used and improve the App. The app-instance identifier is replaced with a new one if you delete and reinstall RoleNook. You can turn usage analytics off at any time with the Share Analytics & Crash Reports switch in the App’s Menu. This stops collection and deletes from your device the app-instance identifier and any analytics data not yet sent. Google keeps this data for a limited period set in our Google Analytics settings and processes it under its own privacy policy and Firebase privacy information.
Crash reports. If RoleNook crashes, Firebase Crashlytics, a service provided by Google, receives a crash report the next time you open the App. A report contains the technical details of the crash, such as the point in the App’s code where it happened, together with your device model, iOS version, App version, available memory and storage, device orientation, a randomly generated installation identifier, and the screens you opened just before the crash. It never contains the content of your records. We use crash reports only to find and fix problems in the App. Google keeps crash reports for up to 90 days. The same Share Analytics & Crash Reports switch in the App’s Menu turns crash reporting off, and switching it off also deletes any crash reports not yet sent from your device.
Services you choose. When you export or share a file, open a website, start a telephone call, compose an email, or use another linked service, the information you select is passed to the destination app or service you choose. Its own privacy policy then applies.
Advertising partners. Google’s AdMob service and its advertising partners receive the technical advertising identifiers described in “Advertising and tracking” below whenever RoleNook’s banner ad is shown. They do not receive your job-search records.
Support enquiries. If you contact us, we receive the information you provide in the contact form or subsequent correspondence, such as your name, email address, message, and any attachment you choose to send.
We do not sell or rent personal information. RoleNook does not share your job-search records (applications, contacts, tasks, interviews, or offers) with advertisers or data brokers, and does not use those records for advertising or cross-app tracking.
6. Advertising and tracking
RoleNook shows a banner advertisement, provided by Google’s AdMob service, on the App’s Home screen. This is the only place ads appear, and RoleNook does not currently show full-screen, video, or rewarded ads.
To show ads, and to personalise them if you allow it, AdMob and its advertising partners may process technical identifiers such as your device’s advertising identifier (IDFA), IP address, an approximate location derived from your IP address, and information about how you interact with an ad, such as whether it is viewed or tapped. This processing is separate from, and never involves, the job-search information you enter into RoleNook.
The first time RoleNook can request your advertising identifier, iOS asks whether to allow the App to track you across other companies’ apps and websites, under Apple’s App Tracking Transparency framework. If you decline, or have limited tracking in iOS Settings, RoleNook still shows a banner ad, but it is not personalised using your advertising identifier. You can review or change this choice at any time in Settings > Privacy & Security > Tracking, or under RoleNook’s own entry in Settings.
Advertisers may also use Apple’s SKAdNetwork framework to measure the effectiveness of their advertising, in a way Apple designs to avoid revealing information that identifies you individually.
Google’s privacy policy and its AdMob-specific explanation describe how Google and its partner networks handle this information. Think To Be does not control, and is not responsible for, Google’s or its partners’ own processing.
7. Notifications
If you grant notification permission, RoleNook schedules reminders using Apple’s notification system. Notification text may contain a task or interview title and timing information and may appear on your lock screen depending on your iOS settings. You can change preview and notification settings in iOS Settings, or disable RoleNook reminders in the App.
8. Imports and exports
Imported files are read to add supported records to RoleNook. The original file remains wherever you selected it unless you delete it yourself.
Exported JSON, CSV, and PDF files may contain personal or confidential information from your records. They are created only when you request an export and are sent only to the location, person, app, or service you select. Once an export leaves RoleNook, we do not control it. Store and share exports carefully.
9. Retention and deletion
App records remain on your device and in your private iCloud database until you delete them, remove them through another synchronised copy of the App, or manage the applicable iCloud data. Deleting a record in RoleNook removes it from the App and synchronises that deletion through CloudKit when synchronisation is available. Deleting an application also deletes its associated tasks, interviews, and offers from RoleNook. A contact linked to other records is unlinked when that contact is deleted.
Deleting the App removes its local data from that device, but may not delete data already stored in iCloud or exported elsewhere. Reinstalling the App while signed in to the same Apple Account may restore synchronised records. Exported or shared copies must be deleted separately from their destination.
Because RoleNook records are kept in your private CloudKit database, Think To Be normally cannot view, retrieve, correct, or delete those records on your behalf. You can manage individual records within the App and export a copy of supported data. If you need assistance, contact us using the details below.
Support correspondence is kept only for as long as reasonably necessary to answer your enquiry, maintain appropriate records, resolve disputes, or meet legal obligations, after which it is deleted or anonymised where appropriate.
10. Security
RoleNook uses Apple’s on-device storage and private CloudKit services rather than sending your job-search records to a Think To Be server. Access to synchronised data depends on the security of your device and Apple Account. Keep your devices updated, use a strong device passcode and Apple Account credentials, and protect exported files.
No storage or transmission method is completely secure. We use reasonable measures appropriate to the App, but cannot guarantee absolute security, particularly for third-party services or exported information outside our control.
11. International processing
Apple, Google (for advertising and usage analytics), or a service you choose may process information in countries other than the country where you live. Any such processing is governed by that provider’s terms, privacy policy, and applicable safeguards.
12. Information about other people
RoleNook lets you store recruiter, interviewer, employer, and other contact details. You are responsible for ensuring that you have a lawful and fair reason to store and use another person’s information and for respecting their rights.
13. Children’s privacy
RoleNook is not directed at children under 16, and we do not knowingly seek personal information from children through the App. If you believe a child has sent personal information to us through a support enquiry, contact us so we can review and delete it where appropriate.
14. Your data-protection rights
Depending on where you live, you may have rights to access, correct, erase, restrict, object to the processing of, or receive a portable copy of personal information, and to withdraw consent where processing relies on consent. Most rights relating to RoleNook records can be exercised directly by viewing, editing, deleting, or exporting information in the App.
To exercise rights concerning information Think To Be actually holds, such as a support enquiry, contact us. We may need to verify your identity before responding. You may also complain to your local data-protection authority. In the United Kingdom, this is the Information Commissioner’s Office.
15. Changes to this Privacy Policy
We may update this Privacy Policy when RoleNook, applicable law, or our practices change. We will publish the revised version on this page and update the effective date. If a change materially affects how the App handles information, we will provide additional notice where reasonably practical.
16. Contact us
For questions about these terms or privacy practices, contact Think To Be Ltd at apps@thinkto.be. Please identify your message as relating to RoleNook.
